Before this, I spent 15+ years in IT operations and manufacturing systems, including roles at Emerson and Infosys, where I watched SMBs struggle with the same problem over and over: their workforce had real skills and real certifications, but nobody could see them clearly. I'm also a US Army veteran. The discipline of military operations taught me that you don't leave critical information in someone's memory — you document it, you alert on it, and you make it visible to the people who need it.

How long does setup actually take?
About 5 minutes for the first employee and skill. Most customers have their full team imported via CSV within 30 minutes. The onboarding wizard walks you through it. If you get stuck, email support and we'll help — included on every plan.
Can I import our existing employee data?
Yes. CSV import is included on Growth and Scale plans. Starter plan supports manual entry. We accept standard columns (name, email, title, department, hire date) and can map non-standard formats. If you have a payroll export, we can usually work with that.
Is SkillVault HIPAA-compliant?
SkillVault is built with HIPAA-compliant practices including encryption in transit (TLS 1.2/1.3) and at rest (database encrypted with AES-256-XTS), organization-level data isolation, role-based access, and audit logging. For healthcare customers, we'll sign a Business Associate Agreement (BAA). Note: HIPAA compliance is a shared responsibility — SkillVault provides the secure platform, and your practice maintains its policies and procedures.
What happens to our data if we cancel?
You get a CSV export of your data (employees, certifications, and billing) at cancellation. We retain a backup for 30 days in case you change your mind, then permanently delete everything. Your data is yours. No lock-in.
How is this different from BambooHR or Gusto?
BambooHR and Gusto are excellent HR platforms focused on the employee lifecycle (hiring, payroll, benefits). They have skill fields but no real tracking, no automated alerts, and no skill matrix view. SkillVault complements them — we focus specifically on workforce capability visibility and certification compliance. Many of our customers use both.
Do you offer phone support?
Phone support is included on the Scale plan ($349/month). Starter and Growth plans include email support with one-business-day response time. We're a small team and we answer email personally — you'll often hear directly from Chris.
What if we have more than 300 employees?
Scale plan covers up to 300 employees. If you need more, contact us — we offer custom pricing for larger organizations starting at $799/month. Email sales@skillvaultai.io.
Can we try it without entering a credit card?
Yes. The 14-day free trial doesn't require a credit card. We want you to actually try the product before paying.
How do you handle data security?
All data is encrypted in transit (TLS 1.2/1.3, HSTS enforced) and at rest (database encrypted with AES-256-XTS). Authentication uses industry-standard hashing (Django's PBKDF2 with SHA-256). Customer data is segregated by organization with strict row-level filtering and role-based access. We do not share or sell customer data.
Is our employee data sent to third-party AI providers?
Only if you choose to use AI insights, a Scale-plan feature that's off by default. Nothing is sent automatically — data goes to your selected provider (Anthropic Claude, OpenAI, or Microsoft Copilot) only at the moment you trigger an analysis. You can supply your own provider API keys so the data flows through your own account, and none of these providers train their models on data submitted through their business APIs. The rest of SkillVault works with no AI involved.
Do you integrate with anything?
Today: CSV import/export and a read-only REST API (Growth and Scale — see Settings → API access). A full read/write API and native integrations — BambooHR, Gusto, Microsoft 365, Google Workspace — are on our roadmap. If you have a specific integration need, tell us — customer requests drive our roadmap.
What if SkillVault doesn't work for us?
Cancel anytime. We don't lock you into annual contracts (though they're available with a discount). If you cancel within 30 days of starting a paid subscription and you're unhappy, email us — we'll refund.
